Partner and Third-Party Due Diligence Policy

Requires checks before Punjabi Samvad relies on a partner, consultant or vendor.

Applies to

Governing Body members, employees, consultants, volunteers, interns, facilitators and contractors where the subject relates to their role.

Risk-based checks

  • Confirm legal identity, address and authorised representatives.
  • Review registration, experience and reputation relevant to the work.
  • Check conflicts of interest and payment details.
  • Assess safeguarding, privacy and financial capacity when the role requires it.
  • Review sanctions, litigation or regulatory concerns when relevant.

Decision

The contract owner records the checks, identified risks, controls and approving person. A higher-risk relationship requires stronger contract terms, monitoring or Governing Body approval.

Contract and monitoring

Significant agreements define scope, deliverables, price, confidentiality, data use, safeguarding, intellectual property, termination and reporting. The contract owner monitors delivery and updates due diligence when ownership, risk or scope changes.
