Plan the activity
- Assess travel, venue, weather, crowd and local risks.

- Set supervision and safeguarding arrangements.
- Keep emergency contacts and participant information needed for safety.
- Brief staff on incident roles and escalation.
During fieldwork
The event lead may pause, change or cancel an activity when conditions create an unacceptable risk. Staff follow approved transport and working-hour arrangements and do not ask a participant or colleague to accept an unsafe task.
Incident response
Address urgent medical and safety needs first. Contact emergency services when needed, inform the programme lead, preserve relevant facts and record the incident. The responsible lead reviews the cause and assigns corrective action.
